CALL SHEET — WorkMatrixx / "MAVIS" (Ashley Brown) — Monday AM, 30 min
Lead: Ashley Brown · ashleybro@parallelaid.com · 216-859-6131 (216 = Cleveland inference, not from site) · Budget: Under $5K/mo · Requested: SEO & Content, Websites & CRO, Retention (Email & SMS) · Inbound organic → promised free growth audit
1. Snapshot
WorkMatrixx (site 100% branded "MAVIS") — B2B "AI operator + human VA" hybrid sold as SaaS; likely a VA-staffing shop productizing (Calendly = info_toptalentvas) — workmatrixx.com (apex only; www = 403) — no GBP under any of its 4 names, zero reviews anywhere — Biggest opportunity: conversion-first rebuild that unifies the entity, installs measurement, and opens a content engine — exactly her 3 requested services = The Growth Foundation.
2. What's Working (open with this)
- The site is genuinely well-designed — clean, modern, fast static page; clear hero ("Your AI Operator, Human-Guided"), logical 4-step how-it-works, no mobile overflow. This is a foundation, not a teardown.
- The funnel works and they rank #1 for their brand — Calendly loads, brand-styled, live bookable slots (verified Jul 21–24); good title/meta, sitelinks on the branded SERP.
- AI search already quotes them — a long-tail clinics/agencies query surfaced workmatrixx.com at #4 and quoted their copy verbatim. The raw material is quotable; it just isn't structured to win consistently. (Also: parallelaid.com DMARC is p=reject strict — a real config strength.)
3. The 5 Money Questions
Q1. "Walk me through how a new client finds MAVIS today — referrals from the VA side, outbound, LinkedIn? Because the site only converts people who already know the name."
Q2. ⭐ THE NUMBER THE WHOLE CALL RUNS ON: "When a clinic or agency signs on, what do they pay per month, and how long do they typically stay?" → monthly retainer × months = client value. (Competitors publish $699–$2,499/mo — use only as illustrative context, never as her number.)
Q3. "What happens today to someone who visits but doesn't book the 15-minute call? Any list, follow-up, anything?" (Answer is nothing — let her say it.)
Q4. "Help me with the names — WorkMatrixx, MAVIS, parallelaid, and the booking runs under 'Top Talent VAs.' What's the story, and which brand wins?" (Curious, not gotcha.)
Q5. "If the audit shows a clear path, who besides you signs off, and what does your timeline look like?"
4. The 3 Findings to Walk (12–20 min) — SAME ORDER AS HER EMAIL (content → capture → measurement); ③ bridges into the offer
① SEO & Content: zero non-brand organic surface (CRITICAL — her first checkbox, open here)
- Found: The entire site is one 870-word page. /blog, /faq, /about, /services all 404; no sitemap, no schema. Live SERP for "AI virtual assistant for small business" is won entirely by competitor guides — workmatrixx.com absent.
- Means: Only people who already know the brand name can find them. Every problem-aware query her ICP types is uncontested.
- Costs: = [client value from Q2] × every organic-sourced client/mo they never get. Illustrative: competitors in these SERPs publish $699–$2,499/mo plans — one organic client/mo would exceed the Foundation's monthly fee.
② Websites & CRO: one conversion path + trust collapse at the vetting moment (CRITICAL)
- Found: Verified in the live DOM: 0 forms, 0 inputs, 0 tel:, 0 mailto:. Every CTA → same Calendly. And a prospect who Googles them pre-call hits four brand names, three unrelated "Matrixx" companies, a "Safe or Scam? 56/100" checker result on page 1, no about/privacy/terms/contact (all 404), and www dead-ends on a 403.
- Means: Anyone not call-ready leaves without a trace — and tie it to her third checkbox out loud: "the retention program you asked about has nothing upstream feeding it — there's no list to retain." Plus: this business asks clients to hand over their inbox, CRM, and calendar — the vetting moment is exactly where the site goes silent.
- Costs: = [client value] × every not-yet-ready visitor lost forever + every vetting prospect the 56/100 result scares off — suppressing the ONE conversion event they have.
- 🎁 Free give here: their Calendly showed only a 4-day bookable window, nothing sooner than 3 days out — settings-level fix, walk it through free on this call.
③ Nothing is measured — the prerequisite for all three (CRITICAL — close on this; it IS the Foundation pitch)
- Found: Runtime-verified: no GA4, no GTM, no dataLayer, no pixels on the hydrated page. Only external script = Calendly widget. The one conversion fires inside Calendly under info_toptalentvas, with zero source/UTM passthrough. (Say "no client-side measurement detectable" — server-side, if any, isn't visible externally.)
- Means: No visitor, channel, keyword, or page can ever be credited for a booked call — so the SEO from ①, the capture from ②, and the retention it feeds would all launch blind.
- Costs: = [client value] × every booking that can't be traced to a winning channel — so nothing can be doubled down on. Silver lining to say out loud: with no ads running, they're at least wasting $0 today.
- The bridge line: "That's why this isn't three point-solutions — it's one foundation layer, and it's exactly what we build."
5. The Offer (present the flat monthly — it fits her cap; DON'T anchor high)
⚠ Strategy note: her deal is LOCKED as a flat monthly (Rudy 07-19). She's an inbound at "under $5k/mo," so we do NOT open with the $16,500 anchor — that risks a bait-and-switch feel when we land at $3,500. Present the flat deal confidently as THE offer; the upsell ladder is where we "anchor to more" without a scary number.
- The system — flat $3,500/mo, everything included (~1-week build). Conversion-first rebuild/expansion she OWNS: unified entity + real about/legal/contact pages + first-party booking + Organization schema + www 403 fixed; SEO/AEO + autonomous content engine; GA4+GTM tracking + attribution; lead capture; speed-to-lead (instant SMS/email on form submit); GBP + reviews. Delivers 2 of her 3 services and builds the capture layer the 3rd requires.
- No big upfront, no line items, no build fee — one flat number, comfortably under her <$5k cap.
- Term: month-to-month after a 90-day initial runway. Frame client-favorable: "SEO compounds — it needs a fair window to show; 90 days, then you're month-to-month, cancel anytime."
- Commitment (NOT a guarantee): "Your Growth System, Live in 30 Days" — the full checklist ships by day 30 or we work free until it does. Deliverable-based; never a market/ranking/revenue promise.
- Upsell ladder toward her $5k ceiling (later, only as results land): server-side tracking → Retention Email & SMS on clean sending infra + GoHighLevel CRM (gated on the sender-reputation audit). This is "where we grow together," not a Phase-1 line item.
- Scarcity (true): one build slot per week — lock her start date live on the call.
- Proof line (same claim as the proposal, grounded in the published /work case study): "We build these in about a week — a Los Angeles professional-services firm we rebuilt on this exact system saw nearly 10× the pages ranking in Google and 3.5× the organic clicks in the first month, and its content and review engine now runs autonomously on that foundation." (Anonymized on the call — the public case study is on rgdigitalmarketing.com/work if she asks.)
6. Likely Objections → the move
- "Is $3,500/mo within my budget?" → Yes — you said under $5k, and this is comfortably under with no separate build fee or upfront. Then anchor to Q2: "at [her client value], how many new clients does this need to source to pay for itself?" Let her do the math (one to two).
- "Why 90 days — I wanted month-to-month." → You ARE month-to-month — after a fair runway. SEO and content compound; 90 days is the minimum to judge it honestly, and I won't take it on terms that set us both up to fail. After that, cancel anytime. (Never frame it as a lock-in for us.)
- "We built this site ourselves / with AI in a week — we can add this stuff." → Credit it: "And it shows — the design is genuinely good." The gap isn't pages, it's systems: measurement, entity/schema, capture, a content engine that publishes autonomously. That's infrastructure, not another AI export — and the current export hot-links its hero image from a third-party Supabase bucket that could vanish.
- "We're early — let's wait until we have more clients." → Reverse it: every week unmeasured is data lost forever; every visitor lost is a client they'll never know they missed. The audience/attribution asset only compounds from the day it's installed. And the trust problem (56/100 result, four names) is actively taxing the demand they already get.
7. The Close (flat monthly — NO deposit; first month starts the build)
- The line: "Want me to lock your build slot? Your first month ($3,500) starts the 30-day build — I'll hold [start date] for you." Then stop talking — first voice after the price loses.
- Down-sell (never a discount): if $3,500/mo is a stretch right now, step to the Growth Blueprint — $1,500: paid deep-dive diagnostic + 30-day roadmap, fee credited if she upgrades within 45 days. (Scope-down, never price-down.)
- RULE: never hang up without a next step on the calendar — locked start date, Blueprint, or a booked follow-up with the decision-maker from Q5.
8. Do-Not-Say
- Never assert "Top Talent VAs is your parent company" — the Calendly handle is the ONLY evidence. Ask Q4 curiously; let her explain. Same for parallelaid ownership.
- Never say "your domain is blacklisted" or "your calendar is dead," and never accuse anyone of sending spam. Precise truth only: multiple addresses on parallelaid.com are on address-level CleanTalk blacklists (not a confirmed domain listing) and those pages top the domain's search results — frame as "a sender-reputation audit is a prerequisite before any email/SMS build," zero attribution. And the Calendly DOES work (slots Jul 21–24) — the issue is a thin 4-day window, not a broken funnel.
- Never claim tracking/ads are "absent" outright — say "not detectable externally / no client-side measurement observed." Say "no Meta ads found under the WorkMatrixx name" (can't rule out other page names), and "at least two competitors" in the auction (Wishup, Magic) — not three.
